ADMINISTRATIVE ASSISTANT REF NO: 2021/01
DEPARTMENT OF TRADITIONAL AFFAIRS is looking for a candidate to apply for available government vacant space of Administrative Assistant in Pretoria. SALARY Package: R208 584 per annum and these positions are permanent.
ADMINISTRATIVE ASSISTANT REQUIREMENTS
A Grade 12 qualification or equivalent qualification with relevant experience in office management and administration. A tertiary qualification will serve as an added advantage.
Core competencies: Customer orientation and customer focus. excellent communication skills. must be Honesty and have integrity. Must know how to planning and organizing. Telephone customary code. Computer literacy and MS-office understanding.
Technical Competencies: have office management and administration skills, secretarial functions and general administration.
DUTIES AND RESPONSIBILITIES: The successful applicant will do the following duties and responsibilities
Develop and facilitate an efficient filing system and the flow of the documents in the Chief Directorate departments: Receive and distribute documents and files with departments. Record documents in the relevant registers.
work with files and the management of the paperwork of the unit. build effective document tracking systems. work to provide secretarial support services: work to coordinate and prepare documentation for meetings/ workshops in the department. Compile minutes/ reports in the meetings.
Write memoranda and any other correspondence. Manage the diary of the supervisor and keep a record of next meetings: Set up appointments and record events in the diary.
Working to promote effective diary co-ordination in an electronic or at least on a manual system. Provide administrative support services in the department: Arrange trips and logistics-related activities for travel, meetings, workshops and conferences.
Manage and facilitate the telephone and communication systems in the office. Buy and place orders for stationery and equipment. Manage the inventory and equipment within the unit. Make copies, fax and email documents as required by management.
