The Department of Higher Education and Training (DHET) invites applications from suitably qualified and experienced candidates for the position of Assistant Director: Office Manager (Office of the Principal) at Ikhala Technical and Vocational Education and Training (TVET) College.

This is a senior management role (Level 09) responsible for providing strategic, administrative, governance, planning, and monitoring support to the Office of the Principal and College governance structures.

Minimum Requirements

Qualifications

A recognised National Diploma or Degree (NQF 6/7) in one of the following fields:

  • Public Management

  • Public Administration

  • Business Management

  • Business Administration

  • Office Management and Technology

  • Management Assistant

  • Or relevant equivalent qualification

Experience

  • 3–5 years’ relevant experience in a strategic planning and administration environment

Key Responsibilities & Duties

Office of the Principal Support

  • Render administrative and executive support services to the Principal

  • Ensure effective workflow management within the Office of the Principal

  • Conduct research and provide expert administrative advice to the Principal and College officials

  • Quality-check correspondence, memoranda, submissions, and reports

Governance & Secretariat Support

  • Provide secretariat support to:

    • College Council

    • Council Committees

    • Academic Board

    • Senior Management

    • External stakeholders

  • Coordinate and arrange meetings, proceedings, and activities

  • Compile and distribute agendas, minutes, reports, and supporting documents

  • Maintain a register of resolutions and monitor implementation

  • Ensure approved minutes are signed and safely archived

  • Prepare presentations, speeches, and reports for the Principal and Council Committees

Planning, Monitoring & Reporting

  • Coordinate college inputs for:

    • Annual reports

    • Quarterly and monthly reports

    • Cash flow statements

  • Coordinate and compile:

    • Strategic plans

    • Operational plans

    • Institutional performance reports

  • Facilitate operational and strategic planning processes

  • Conduct assessments on college effectiveness and efficiency

  • Support implementation of service delivery improvement plans

  • Facilitate implementation of productivity measurement frameworks

  • Coordinate and support priority programmes and projects

Financial Oversight

  • Oversee and monitor the Office of the Principal budget

  • Monitor expenditure and cash flow in line with financial regulations
