The Department of Public Services and Administration is looking for a chief administration clerk at the Chief Operations Office branch, King Williams Town in the Eastern Cape.

SALARY:

The successful candidate will be paid R257 508 per annum (Level 07), which equals R21 459 per month.

MINIMUM REQUIREMENTS:

The applicants applying for this post or job must ensure that the meet or satisfy the following minimum requirements:

  • Matric or Grade 12 certificate.
  • Must have two (2) to four (4) years’ working experience.
  • Understanding of clerical functions and practices, and be able to capture data.
  • Be able to operate a computer, as well as to collect and combine administrative statistics.
  • Understanding of Human Resources prescripts.
  • Clear and full understanding of working procedures in terms of the working environment.
  • Knowledge and proper understanding of the legislative framework governing the Public Service.
  • Interpersonal relations.
  • Must be flexible.
  • Must be able to work as a team.
  • Basic understanding of how to analyse solve problems.
  • People and Diversity Management.
  • Must be able to communicate with people in a proper manner.
  • Must be computer literate.

DUTIES:

The following are the duties that the applicant will have to be able to perform with relation to the job:

  • Provide general clerical support services.
  • Give personnel administration clerical support services within the component.
  • Handle traveling and accommodation.
  • Stock control of office stationery.
  • Supervise and provide general clerical support services.
  • Record, organize, store, capture, and retrieve correspondence and data (line function).
  • Update registers and statistics. Handle routine inquiries.
  • Keep and maintain the filing system for the component.
  • Implement administrative processes in the component.
  • Information on the system verified accordingly.
  • Supervise and provide supply chain clerical support services within the component.
  • Liaise with internal and external stakeholders in relation to the procurement of goods and services.
  • Get quotations, complete procurement forms for the purchasing of standard office items.
  • Stock control of office stationery.
  • Keep and maintain the asset register of the component (district offices).
  • Manage the staff accordingly.
  • Get quotations for securing goods and services.
  • Supervise and provide personnel administration clerical support services within the component.
  • Maintain a leave register for the component.
  • Keep and maintain personnel records of the component.
  • Keep and maintain the attendance register of the component.
  • Arrange traveling and accommodation.
  • The staff managed accordingly.
  • Maintain leave register.
  • Supervise and provide financial administration support services in the component.
  • Capture and update expenditure in components.
  • Check the correctness of subsistence and travel claims of officials and submit them to the manager for approval.
  • Handle telephone accounts and petty cash for the component.
  • Capture records accordingly.
  • Distribute documents to all officials on time.
  • Perform the first line IT support.
